# Germany format invoice

For the German market, we provide a specific invoice format called a **Gutschrift** — a self-billing invoice you issue on behalf of your affiliate, following German VAT law ([§14 UStG](https://www.gesetze-im-internet.de/ustg_1980/__14.html)). It includes the legal identity and tax number of both you and your affiliate, a VAT line, and the required legal note.

To get the Germany invoice, go to **Settings** > **Payment > Invoice >** Turn on the **Export invoice** and select the **Germany invoice** option.

The invoice format will look like this:

There are a few notes you should pay attention to:

1. To display your information on the invoice, fill out the **Rechtliche Identität / Legal identity** section in **Settings** > **Payment** > **Invoice**. Company name, Address, and Tax number (Steuernummer) are required. VAT ID (Umsatzsteuer-IdNr.) is optional, but you'll need it for affiliates in other EU countries — Reverse Charge invoices ([§14a UStG](https://www.gesetze-im-internet.de/ustg_1980/__14.html)) require the VAT ID of both sides.

2. Choose who pays the tax. Germany invoices always include a VAT line, so the "None" option isn't available. Select either **Merchant (you) pays** (tax is added on top of the commission) or **Affiliates pay** (tax is already included in the commission).

3. Ask your affiliates to complete their tax details in their affiliate account, under Settings > **Payment & tax**:
   * **Tax rate** — 0% if they're a Kleinunternehmer ([§19 UStG](https://www.gesetze-im-internet.de/ustg_1980/__19.html)), or 19% if they're VAT-registered.
   * **Steuernummer** or **VAT ID** — German tax law requires at least one of these on the invoice.
   * **Country** — found in their Profile. This tells us which legal note applies.

When you turn on Germany invoice, we update your affiliate registration form for you. Two optional fields are added — **Steuernummer / Tax number** and **Umsatzsteuer-IdNr. / VAT ID** — so new affiliates can provide them when they sign up.

The **Country** field is also set as required, because it determines which legal note appears on the invoice. While Germany invoice is active, the Required box for Country stays checked and can't be unchecked. The **Tax rate** field in your affiliates' account becomes required as well.

You can review these fields anytime on your [**Affiliate registration form**](https://docs.uppromote.com/management/affiliate-registration-form).

Once you've marked a referral as paid, you can download its invoice from the **Payments** tab > **Paid referrals** > locate that referral and click **Download invoice**. If you pay through PayPal or Wise, the tab is called **History** instead.

Your affiliates can download the same invoice from the **Payment** tab in their affiliate account > **Detail** > **Download Invoice**.

You can also select multiple payouts and export invoices in bulk. Select the payouts > **Export invoices** > click **Export invoices** > open your email and click **Export file**.

If affiliates don't have such information on their profile, those lines will be left out of the invoice, and you'll see a warning before you download it. You can still download the invoice, but it may not be fully compliant with [§14 UStG](https://www.gesetze-im-internet.de/ustg_1980/__14.html).

For affiliates who haven't added the information while signing up, you can send them emails to ask for an update, or you can log in as an affiliate and edit the information for them.

Everything else on the invoice is filled in automatically — the invoice number, invoice date, service period, service description, amounts, and the VAT rate with its legal note. When your affiliate is in Germany and reports 0%, the invoice shows the [§19 UStG](https://www.gesetze-im-internet.de/ustg_1980/__19.html) note. When your affiliate is in another EU country, it shows the §13b Reverse Charge note. Affiliates outside the EU don't get a legal note.

Invoices are shown in your store currency and are not converted to Euro.

If you export invoices in bulk and some of them are missing required details, we'll attach an Excel file to your download email listing those invoices so you can fix them.
